Contract Manager

As professional software for digital contract management, the ISR Contract Manager ensures control over all contract data and processes in your company. 

No matter from which device - you and your colleagues can securely access your contract data, conditions and documents from anywhere and at any time thanks to our strong authorization concept.

Thanks to intelligent deadline management, you can also reliably keep an eye on all termination and renewal deadlines.

Invoice verification with AI: ISR Accounts Payable Flow

Manage your invoice receipt process completely digitally and intuitively. With clear dialogs, our software provides you with comprehensive support in handling invoices, meeting discount/payment deadlines and automating approval processes. Thanks to the intelligent algorithm based on our own AI(Buildsimple), our software supports you in the correct account assignment of invoices.

The automatic allocation of G/L accounts and cost centers to invoice items saves time and reduces the error rate, as manual allocation is largely superfluous. Simple, fast and intuitive invoice processing!

What's New: News directly from our product development department

We have been providing our customers with our ISR software for digital files and processes, particularly in contract and invoice management, for 20 years. We are continuously improving our software products to ensure that you have everything under control digitally in the future.

For all ISR products

With the new releases Information Office 13.4, Accounts Payable Flow 9.4 and Contract Manager 5.4, we have added numerous functions that ensure greater transparency, security and automation. The focus is on improvements to authorizations and approvals, new options for invoice receipt and additional convenience functions that make day-to-day work noticeably easier.

In the following, we will look in detail at the new features in the Information Office, Accounts Payable Flow and Contract Manager.

Version 13.4 | Release on 05.09.2025

Outgoing invoices

With the new outgoing invoice module, invoicing is completed in no time at all, either automatically via the job manager or specifically for individual orders. All important information, documents and links are clearly arranged in the outgoing invoice file. This module extends the sales order process in the Information Office to include the creation and management of outgoing invoices - from order processing to posting.

File authorizations

More overview, less chaos: role-based authorizations show you exactly who is allowed to do what. Old read permissions from the existing file migration are automatically transferred, new permissions immediately apply to all existing and new files. The display of authorizations in files is now much more transparent: You can see which rights exist in a central location. This means your data remains protected and your teams can work without stumbling blocks.

Release management

Our approval management has been upgraded: from now on, approvals can be assigned centrally for users and roles, e.g. for accounting, purchasing or project teams. This means fewer clicks, clearly defined responsibilities and fast, transparent approval processes. Every change is automatically logged so that you can track who granted or adjusted which approval and when at any time. Efficient, flexible and clear, just as digital processes should be.

Matching service

Our intelligent matching service ensures that every invoice is automatically assigned to the correct company code and vendor. Two steps are all it takes: first the invoice recipient, then the invoicing party. With the new configuration option, you can flexibly control the matching accuracy from version 9.4 onwards, even with similar names.

E-bill

With the new version, incoming ZUGFeRD or XRechnung invoices are displayed directly as a readable PDF. The integrated conformity check immediately warns of deviations so that errors can be detected and rectified at an early stage. Everything is clearly arranged in the invoice file - including additional documents and audit trails.

Simple Document Input Channel (SDE)

New in version 9.4: With the Simple Document Entry (SDE) channel, invoices can be processed directly in Accounts Payable Flow - without the need for a separate input management system. Invoices received by e-mail or file are automatically stored in an empty file. You then enter the necessary content manually and the invoice runs through the tried-and-tested workflow from approval to release to posting. Fast, flexible and transparent - so everything stays in flow.

Add main document

With the new version, contracts (but also quotations or order documents in the Information Office) can be defined directly as the main document in a file - in just one step. All documents, comments and links are clearly bundled and old read authorizations are automatically transferred. The function can be configured flexibly and adapts to your individual processes. This saves time, reduces clicks and ensures clearly structured, transparent contract processes.

Update becomes function: ISR software features in review

In the continuous development of our software, we always make sure to integrate innovations and improvements in order to offer our users the best possible experience. This means that all features that were once added to our software as additional enhancements are now permanently integrated as features in our applications. Here's a quick look back at which features these are and with which version of our software they were introduced. Let's start with the Information Office.

Information Office: The command center

The following features have been integrated into the Information Office and all future versions since its release:

License tool

With version 13.3, Information Office 13.3 has a license tool and one thing is for sure: your specialist administrators will love it! It has a small but very important task. It streamlines and simplifies the license upgrade/downgrade process considerably. Thanks to the option of importing/exporting licenses, up-to-date license information can be created using a license key. This can then be easily exchanged between us and your responsible administrator. The new license key with the adjusted or new license information can simply be imported without deployment. That's it!

Work instruction texts (Offer module) 

The work instruction texts in the description area of an offer can now be configured individually in the system, depending on the offer type. This means that the respective specialist administrator can now carry out configuration independently via the administration interface without the need for deployment.

Messages to users (active messages)

With version 13.3, administrators can deactivate messages for users and reactivate them if required. Recurring messages do not have to be rewritten, but can simply be updated with new information and activated for all users. Opened Information Office and clicked away a message too quickly? No problem: users can now simply call up and view all active messages again via the navigation bar. 

Compatibility
With the 13.3 update, we have also further expanded the compatibility of the Information Office, including support for SAP JCo 3.1.8, IBM FileNet Content Manager (formerly P8) 5.5.11 and also version 4.1.15 of OpenOffice. The compatibility of established software versions is particularly important and has the advantage of ensuring stability, compatibility and planning security for your IT environment. 

Single Sign On via SAML v2.0

With the update to version 13.2 of the Information Office, we are introducing the integration of Single Sign On using Security Assertion Markup Language version 2.0 (SAML v2.0 for short). SAML Single Sign-On is a mechanism that allows users to log in to multiple web applications after logging in to the identity provider. Single sign-on enables a faster and even more secure user experience.

Intelligent license check during user import

No more license conflicts during automated user import! Thanks to the new license check, users are no longer imported if no free licenses are available. This means you always have an overview of existing and free licenses and can avoid under-licensing if necessary.

Direct master data management

Version 13.2 also makes it even easier to create and change master data. From now on, this can be done directly in the Information Office - without the detour via the previous master data import.

Offer creation (Offer): An offer approval process now makes it possible to create offers centrally and clearly in the offer file. This file serves as a collection point for all relevant information and files. An automatic link between the offer file and the order process also enables orders to be generated directly from offers.

Order process (sales order): Transparency and efficiency in the creation, search and execution of orders. Output management with automated order confirmation dispatch is also available. The linking of quotation and order files enables the direct creation of orders based on existing quotations.

Purchase order process: Automation of purchase order processing and the option to store important information in the purchase order file. Automatic order dispatch and a direct file link with Accounts Payable Flow are also integrated.

Business partner file (Business Partner) module: Comprehensive summary of all documents and information relating to a customer, supplier or partner. This file also contains the business partner's master data and can be linked to other files to ensure a comprehensive overview.

SmartLinks: Various functions can be accessed directly on the Information Office start page. Active tasks and favorites can be viewed and edited, company-wide searches can also be found here and dashboards can be accessed directly.

Extended inbox: More compact overview of pending processes in the inbox. Each entry is displayed in a line without field headings. These are now displayed using a tool tip, which saves a lot of space. The display now shows more processes and information at a glance.

Active tasks: A click directly opens the editing dialog if the assigned user is editing the task or is included in the role of the current editor.

Accounts Payable Flow: Accounting, simple & efficient!

The following features are integrated in all subsequent versions of Accounts Payable Flow:

Rejections from the approval step
Your accounting department can now also reject! Admittedly, this is a bit abbreviated and simplified, but from version 9.3 onwards, rejections in the approval step can be forwarded directly to the accounting department. Basically, this is now similar to what you, as an experienced Accounts Payable Flow user, already know from other check steps such as the factual check (approval)! The previous standard rejection process is still supported.

Tax-free invoices
Last but not least: With the new update, Accounts Payable Flow now also supports the posting of tax-free invoices in the SAP context. In this context, tax-free also means explicitly tax-free and not tax-exempt.  

Automated data exchange between DATEV & Accounts Payable Flow: Automatically exchange and post Datev master and posting data between Accounts Payable Flow and Datev. Saves time, reduces manual workload and ensures greater accuracy in your bookkeeping.

Targeted configuration of release authorizations: Assign competencies to your users for different types such as cost centers, G/L accounts and WBS elements and automatically assign them to their user profiles as a rule.

Currency conversion rates via API:
Time-controlled import of currency conversion rates from the Bundesbank via API. Easily and precisely import currencies for configurable options in the currency master data. Always keep your financial data up to date and enjoy the benefits of automated updates.

Interface update:

Buildsimple
Buildsimple is used to read incoming documents and make them available for further digital processing. Buildsimple therefore forms the basis for Accounts Payable Flow and digital invoice processing, among other things. The interface between artificial intelligence and Accounts Payable Flow has been expanded with the new release to include new options. For example, the Invoice Client can now be configured. This makes it possible to transfer the individual invoice items for incoming FI invoices that have been read by Buildsimple or to combine or merge them with existing ones.

Datev
With this release, there is now a Datev standard interface for Accounts Payable Flow. Posting data is transferred to the Datev system via the interface. The confirmations from Datev are processed automatically and the posting data (including the posting number) is reported back.

CENIT ECLISO
Another new feature is the integration of Accounts Payable Flow invoices in Ecliso. This allows information such as status, invoice number and supplier name from cost (FI) and purchase order (MM) invoices to be reliably synchronized as document properties in an IBM FileNet Content Manager. Ecliso creates an invoice file based on this data and parameters.

AI-based extension of SmartKoding:

The recognizer is determined on the basis of historical values using a frequency analysis. In addition, up to 5 recognizers (per position) are displayed in the history, each with the percentage probability.

Fully automatic posting
With the new version, fully automatic posting is possible as standard. Dedicated exceptions can be defined via the administration, e.g. according to a specific gross amount, company codes, cost centers, G/L accounts or suppliers.

AI-based invoice reading
With the new standard interface to Buildsimple as a cloud platform for separating, classifying and extracting your documents, we at ISR offer a complete solution for up to 100% automated invoice reading. Whether paper, email, ZUGFeRD or XRechnung.

Contract Manager: All contracts at a glance!

The following functions are integrated in all subsequent versions of the Contract Manager:

Design and layout

All views and interfaces have been optimized in the course of this update so that information is even easier to find and views are structured more clearly. As of version 13.3 (Information Office), version 9.3 (Accounts Payable Flow) and version 5.3 of the Contract Manager, this layout adjustment does not create any unwanted open spaces. This leads to a clearer and more transparent structure (e.g. in the header data in the file view). 

Entry template:

Do you have recurring offers, contracts or orders? With this update, contracts, quotations and, in Accounts Payable Flow, purchase orders can be entered in Contract Manager based on existing objects (contracts, quotations or purchase orders). These entry templates save time and optimize the process of adding new objects by automatically providing existing information. With just a few clicks, users can now create new transactions without having to re-enter the same information over and over again.

Configuration of the notification setting:

As of this update, you can start notifications such as "Information to contract owner" directly from the contract manager. Each user can configure the notification settings individually in the respective user profile. This ensures that everyone involved is always up to date. This innovative function not only saves time, but also improves communication between all parties.

Flexible configuration of process start times:

It is now possible to individually configure the process start times for termination, renewal, resubmission and information dates. While the default value is 06:00, you have the freedom to customize the start time according to your individual needs.

GUI improvements:

Optimization of the display on mobile devices (e.g. tables) to improve readability on small screen sizes. The design and clarity of the e-mail notifications have also been revised.

Digital signature process
In the signature process workflow, digital signatures can now be created and used with a click. For this purpose, a selection list of internal signatories and the role of "contract coordinator" is created, which can start the signature process and view the contents of the signature process inbox.

File view in folders:
There is now a second tab in the contract file in which the documents can be displayed in a comprehensive tree structure. It is possible to create new folders, rename or delete them. Documents can be filed in the folders and moved between them.

Contract dashboard
In the new version, there will also be a contract dashboard for the ISR Contract Manager at the same time as the invoice dashboard for ISR Accounts Payable Flow. There, for example, the contract type by contract volume, the status of all contracts or the number of contract types can be quickly viewed and analyzed.
