From Filing to Understanding—The New Role of Documents
“It’s not enough to just store PDFs somewhere. We need to immediately recognize what a document means, what process it triggers, and what data we need for that,” said Mark Hommola.
Whether it’s an invoice, a contract, or a technical report: Value is created only once the content has been recognized and placed in its proper context. This added value becomes apparent when companies move beyond a mere “file-and-forget” mentality and begin to view documents as structured data sources.
The goal is " dark processing": A document moves through the process chainA series of processes that are scheduled in the background, and……from receipt to the posting of the business transaction.
Output Management—The Underestimated Transformation
The most dramatic changes are currently taking place at the exit:
- In the past, there were central output servers; today, subsystems are emerging (e.g., Microsoft Teams bot, customer portal renderer, e-invoicing provider).
- Customers expect responses through the same channel they used to submit their inquiry (email, Teams, WhatsApp, or API).
That is why output management must integrate seamlessly with the multichannel input system to form a closed loop—from the first input to the final playback, without any disruption in the media flow.
Chatting with Documents—The First Visible Step
Conversational interfaces show just how convenient working with documents can be:
- Formulate questions (“What is the total amount of all outstanding invoices?”)
- Get answers as if you were talking to coworkers
But the interview makes it clear: This is just the beginning, and we’re still in the early stages.
The real value comes when the information gathered is automatically integrated into processes—without copy-and-paste, without a change in media.
