What is a digital file?
A digital file is an electronic software solution for storing, managing and organizing documents and information that replaces and extends traditional paper files.
It stores data centrally in digital form and enables quick access from various end devices. With functions such as full-text search, versioning and automated workflows, a digital file increases the efficiency of work processes and reduces manual effort. Access rights, encryption and backups ensure data protection and security. The digital file is flexibly customizable and can be seamlessly integrated into existing systems such as ERP or CRM. It also facilitates compliance with legal requirements, e.g. through audit-proof archiving and audit trails.
It is a central building block for digitization in companies and creates a transparent, structured and paperless working environment.

But what is the difference to DMS systems?
The document management system (DMS) provides the infrastructure and tools to efficiently create and manage digital files. The digital file is a structured, user-friendly representation of the documents stored in the DMS, adapted to specific requirements such as customer or project management. In other words, the digital file should be seen as an integral part of the DMS.

The digital file represents a topic-related or case-oriented consolidation of documents based on the DMS. It depicts specific contexts, e.g. for a process, customer, employee or project, and thus enables a structured, user-friendly view of relevant information.
